A press release is a short, factual news story written by an organisation for journalists, editors and the public. Different announcements need different angles, so the pack includes a separate template for each common situation rather than one blank page.
- Product or service launch — the problem it solves, key features, pricing and availability.
- Event announcement — what, when, where, who should attend and how to register.
- New hire or appointment — the person's role, background and a quote from leadership.
- Partnership or collaboration — who is partnering, why, and what customers will see.
- Funding, milestone or expansion — amounts, investors or milestones, and what they enable.
- Award or recognition — the award, the judging body and why it matters.
- General company news — flexible structure for other announcements.
- Official statement — a calm, factual response for sensitive or developing situations.
- Media advisory — a one-page “who, what, when, where, why” invitation to cover an event.
- Boilerplate and media kit checklist — your standard company description and a list of assets journalists ask for.
The standard press release structure
- Release line — “FOR IMMEDIATE RELEASE” or an embargo date and time.
- Headline — the news in one clear line, ideally under about 100 characters.
- Subheadline (optional) — one supporting detail.
- Dateline — city, state or country, and the release date.
- Lead paragraph — who, what, when, where and why in two or three sentences.
- Body — supporting details, context and facts in order of importance.
- Quote — one or two quotes from a named spokesperson that add opinion or vision, not repeated facts.
- Call to action — where to buy, register, read more or get in touch.
- Boilerplate — a short “About [Company]” paragraph.
- Media contact — name, email and phone for journalists.
- End mark — “###” to show the release has ended.
Writing tips journalists appreciate
- Lead with the news, not the company history. If the first sentence would not interest a stranger, rewrite it.
- Keep it to one page where possible — roughly 300 to 500 words.
- Use specific facts and numbers instead of adjectives like “revolutionary” or “world-class”.
- Write quotes that sound like a person talking and add a point of view.
- Include a link to images, a product page or a fuller media kit rather than attaching large files.
- Proofread names, titles, dates and prices twice, and check every link.
- Send it to journalists who cover your subject, with a short personal note, rather than to a long generic list.
Choosing the right template
| Your news | Template | Best timing |
|---|---|---|
| New product, feature or service | Product launch | On launch day, or under embargo a few days before |
| Conference, opening, webinar or fundraiser | Event announcement + media advisory | Release 2–4 weeks ahead; advisory a few days before |
| Senior hire or board appointment | New hire | When the person starts or is confirmed |
| Joint venture or co-marketing deal | Partnership | Coordinated with the partner, same day |
| Investment, record sales, new location | Funding / milestone | Once figures can be published |
| Industry award or certification | Award | After the official announcement by the awarding body |
| Recall, outage or public concern | Official statement | As soon as facts are confirmed |
Embargoes and distribution
An embargo asks journalists not to publish before a set date and time, giving them time to prepare a story. Put “EMBARGOED UNTIL [date, time, time zone]” at the top instead of “For immediate release”, and only send embargoed news to reporters you trust to respect it. You can distribute releases by email to relevant journalists, post them on your website's newsroom page, share them with local business associations, or use a paid wire service. The templates work for all of these; paid distribution is optional.
Formats
Each template is a DOCX file for Word, Google Docs, LibreOffice or Pages, plus a PDF example. Placeholder text in square brackets shows exactly what to replace, and short grey guidance notes explain each section; delete them before sending. The media kit checklist is also provided as an Excel sheet so you can track which assets are ready.
After you send it
Post the release on your own website so journalists who search for you find the full text and contact details. Keep a simple log of who received it, who replied and what coverage appeared; the media kit checklist workbook includes a coverage tab for this. A polite follow-up email a few days later is normal for important news, but avoid repeated calls. If a journalist asks for an interview, prepare three short key messages in advance and have the spokesperson named in the release available at the times you offered.
Frequently asked questions
How long should a press release be?
Usually 300–500 words, fitting on one page, plus boilerplate and contact details.
Do I need a paid wire service?
No. Many small organisations email releases directly to relevant journalists and post them on their website.
What does ### mean at the end?
It is a traditional end mark telling editors the release is complete.
Can I use the templates for clients?
Yes, you can write releases for your own organisation or your clients. You may not resell or share the template files themselves.
Are these AI-generated?
The templates were drafted with AI assistance, then reviewed, edited and formatted before publishing.
